What we collect, why we use it, and how you can ask us to help with your personal information.
Who this policy covers
Izipho Gifts & Promotions uses personal information to respond to enquiries and manage customer relationships, quotes, orders and payments. Information we use
- Enquiries and orders: your name, business, contact details, delivery and billing details, selected products, quantities, artwork, instructions and correspondence.
- Customer accounts: your email, protected password information, account permissions and the customer record used to show your quotes, orders and invoices.
- Payments: invoice references, amounts, payment provider references and confirmation status. We do not ask you to send a card number, PIN, CVV or banking password to Izipho. Card information is handled on the provider’s checkout.
- Technical information: normal connection and security logs may include an IP address, browser details, requested pages and times. Product popularity counts record how often products are viewed.
We usually receive information directly from you or an authorised representative. Order fulfilment and payment providers may supply delivery or transaction updates. Please share only information needed for your request and ensure you are authorised to provide another person’s information.
Why we process it
We use information to prepare quotes, confirm specifications, arrange production and delivery, manage customer access, reconcile payments, handle returns and respond to requests. Processing may be necessary to take steps at your request, perform a contract, comply with legal obligations or pursue a legitimate interest such as fraud prevention and service security, where permitted by POPIA. Where consent is needed, we ask for it for the relevant purpose.
Merely browsing the website is not consent to unrelated marketing. You can object to direct marketing or withdraw marketing consent by contacting us or using an unsubscribe option in a message. Essential order and account communications may still be necessary.
Browser storage and external services
Our live chat uses Zoho SalesIQ. It may process chat messages, contact details you provide, device and browsing information, and cookies needed for chat and visitor recognition. See Zoho’s SalesIQ cookie information. You can contact us by email or telephone instead of using chat.
Your cart and quote selections, including any notes saved with them, are held in local browser storage on your device until removed or the site data is cleared. Do not place sensitive personal information in product notes. Session storage helps avoid counting the same product view repeatedly during a visit. Signing in uses an account session cookie. Blocking necessary storage may stop these features from working.
The quote email tool opens your email app; preparing a message does not send it to us. Once you send it, your email provider and our correspondence systems process the message. Links to WhatsApp, social networks and hosted payment pages take you to external services governed by their own privacy notices.
The current website does not use advertising pixels or third-party advertising cookies. If optional tracking is introduced, this notice and any required preference controls will be updated before it is used.
Sharing and international processing
Information may be shared where needed with hosting and IT providers, our accounting and customer-record service (Zoho), production and branding providers, couriers, professional advisers and the payment provider you use. Only information relevant to the service should be shared. We may also disclose information where lawfully required by a court or authority. We do not sell your personal information.
Some service providers may process information outside South Africa. Such transfers must meet applicable POPIA requirements, including appropriate protection or another lawful basis for the transfer. Contact us if you need details about the providers or safeguards relevant to your information.
Retention and security
We retain information for as long as needed for the relevant relationship or request and for applicable accounting, tax, dispute and legal obligations. Different records may need different retention periods. A deletion request is assessed against these obligations; we will explain if a record must be retained.
Account access is restricted and passwords are stored in a protected form. Payment credentials belong on the payment provider’s service, not in order notes or email. We take reasonable safeguards appropriate to the information, but no online service can promise absolute security. Suspected compromises are assessed and notifications made where POPIA requires them.
Your rights and requests
Subject to applicable conditions, you can ask whether we hold your personal information, request access, seek correction or deletion, object to processing, withdraw consent or complain about how information is handled. Withdrawing consent does not invalidate earlier lawful processing or necessarily require deletion of records we must retain.
Use our POPIA request page for contact details, the information to include and official forms. We may verify your identity or authority in a proportionate way before disclosing or changing records. Do not email an identity document unless we have explained why it is needed and agreed an appropriate method.
You can complain directly to the Information Regulator. You do not have to waive this right or agree to marketing to make a privacy request.
Children and policy updates
Our ordering and account services are intended for adults and authorised business representatives. Please avoid sending children’s personal information in artwork or briefs unless it is necessary and you have the appropriate authority. Contact us if such information has been supplied by mistake.
The revision date below identifies this policy version. Material changes to how information is used will be explained through an appropriate notice.
